The Weston Education Enrichment Fund Committee is a subcommittee of the Weston School Committee. Formed in 1985, WEEFC’s mission is to award enrichment grants for programming which falls outside of the annual school budget, as requested by administrators, teachers, and students, subject to School Committee approval.

WEEFC is fortunate to have the opportunity to review and fund grants on a monthly basis during our regular meetings from September to June. This contrasts with similar local organizations that approve grants only once a year. Our monthly grant process allows us greater flexibility and adaptability to respond to emerging ideas and needs.

Grant Application Information

-To process your application, the grant application, budget page , and any invoices or proposals are required; without these documents, your application will be considered incomplete. (See directions below.)

-Deadlines for delivering grant applications and budget pages to the Office of Teaching and Learning:

9/1/26, 10/6/26, 11/3/26, 12/1/26, 1/5/27, 1/26/27, 3/2/27, 3/30/27, 4/27/27, 6/1/27. If your application is not complete by this date, it will be pushed to the following month’s grant application pool. 

-You must have full grant approval before the start of your proposed project. Please pay close attention to the deadline dates and ensure you allocate enough time for your grant to be approved. Full grant approval will be granted after the School Committee reviews and votes on the grant during the meeting date specified in the chart.

-The chart below shows the deadlines for submitting grant applications, as well as the WEEFC and School Committee Approval Meetings.

-Funds for approved Grants are usually available 1-2 weeks following the School Committee Approval Meeting. Start to finish, the grant application and approval process usually takes 3-6 weeks.

Instructions and Application Process

Please submit your grants by the dates below for each monthly WEEFC meeting to ensure adequate time for your grant application to be processed.

  1. Answer all questions in this application and then hit submit. You will receive an email confirmation of your submitted application.
  1. From your email confirmation, print/save your application for your records. Please note, you can now submit your Budget Sheet electronically. Alternatively, you can print and obtain the necessary signatures as in the past.  

Either:

  1. A) Print the Budget/Signature page and then:

-Fill in the budget details

-Collect appropriate signatures

-Attach it to the printed application 

-Include any accompanying  invoices, estimates, or proposals from vendors that accompany your grant

-Send both the completed Grant Application and Budget/Signature page to the Office of Teaching & Learning at Case House for final administrator approvals.

  1. B) Save an electronic copy of the Budget/Signature page and then:

-Fill in the budget details only 

Email any accompanying PDF invoices, estimates, or proposals from vendors that accompany your grant

-Email/share with Julia Neulight in the Office of Teaching & Learning, who will then send it out for electronic signatures and final administrator approvals.

  1. The Assistant Superintendent presents grant proposals to the WEEFC Board at the next scheduled WEEFC meeting.  
  • If the grant proposal request is for more than $2,500.00, the grant writer may be asked to present to the WEEFC Board at our monthly board meeting. 
  • If the grant is over $10,000, the grant writer may be asked to meet with the WEEFC Chair to discuss the project ahead of the meeting. 
  1. If approved by WEEFC, the Assistant Superintendent will present the grant proposals at the next scheduled School Committee meeting for final approval by the School Committee. 
  1. The grant recipient will receive an award letter from the Office of Teaching & Learning with next steps.
